This policy explains how Tejas Coastal Insurance handles information on this website and in its private assistant, Tejas Coastal Sara. Contact daniel@tejascoastalinsurance.com with privacy questions or requests.

Information we receive

When you submit an insurance inquiry, intake form, or document, we receive the details you provide, such as contact information, coverage needs, vehicle or property information, and uploaded policy materials. The private administrator workspace may also hold lead notes and agency records. For a requested personal auto quote, the restricted driver intake also collects dates of birth and driver’s license state and number for each listed driver.

The authorized mailbox owner can connect Gmail for reading and optionally approve additional draft and send access. Sara uses this connection for carrier email learning and, on the owner's explicit request, email lookup and summaries in the private workspace.

Gmail read-only connection

The connection allows the authorized mailbox owner to search and read messages. For requested lookups, relevant message content is sent to OpenAI to prepare a summary or reply wording, and replies may be processed for speech. Background carrier learning also processes selected carrier emails to extract reusable agency knowledge. With the owner's additional Google authorization, Sara's reviewed compose controls can save drafts and send a specific draft only after a separate review of all recipients and wording. Sending consumes that draft in Gmail. Chat and voice do not execute sends. The first release supports plain-text messages without attachments and does not offer inbox modification or deletion. Requested email bodies and replies are not written to the general server-side chat log by the lookup.

The server stores the connected mailbox address and an encrypted Google refresh token. Short-lived signed send approvals bind the reviewed message to the current administrator session; the private activity log records Gmail-confirmed save/send outcomes, timestamps, message identifiers, subjects and To-recipient addresses so the signed-in operator can recall email work across sessions. Email bodies, CC/BCC lists, approval tokens and credentials are not saved in these outcome records. The mailbox owner can revoke the website app's access in Google Account linked-app settings. Revoking that access prevents the stored token from being used to obtain new Gmail access.

Other uses and sharing

We use inquiry and policy information to review coverage needs, respond to requests, and operate the insurance agency. We use service providers for website hosting and secure backend storage. Agency information may be shared with insurers or other parties when needed to provide requested insurance services, or when legally required. We do not sell Google user data or use Gmail data for advertising.

Security, retention, and your choices

The administrator workspace requires a signed-in session. Restricted driver answers are stored separately from ordinary lead notes and are available only to authorized staff for quote preparation. The customer link expires after seven days and accepts one submission. The Gmail connection's refresh token is encrypted. We retain agency records as needed for operations and applicable obligations. To request removal of a Gmail connection or ask about deletion of information, email daniel@tejascoastalinsurance.com. The mailbox owner can also revoke access in their Google Account's third-party connections; revocation stops future Gmail access.

We may update this policy when the application's data practices change. The updated date above indicates the current version.
